User Viewing Options and Topic Settings

Facilitators set topic setting and viewing options for meeting participants. Options set at the topic level override the options set in the user profiles when the option to override user profile viewing options is checked within the topic settings. These settings are most relevant when setting up new facilitator IDs (see Section 7).

Viewing Options - used when user is separated out from the Topic Settings

User Profile Field
Description - Function when checked
Flip Chart Only
Displays only the Flip chart. Remove the Add an Idea area to a separate screen - accessed by the Add an Idea button.
Show Numbers
Displays Item Numbers.
Items are numbered automatically as they are entered starting with #1.
Item Detail
Displays details associated with the item in the electronic flip chart, in addition to the Item Headline.
Topic Detail
KEEP THIS CHECKED.
Allow Builds
Displays the light bulb "+" icon next to each item in the electronic flip chart. Allows users to comment on existing ideas.
Collapse Builds
Provides a link to the build comments within the body of an idea/item in the flip chart. Click on the link to expand the idea and view all the comments.
Allow Edits
Displays an Edit button next to each item in the electronic flip chart.
Allows users to edit and delete items.
Advanced Edit Options
Use in conjunction with the Allow Edits option. Displays an Advanced Edit Options menu above the electronic flip chart for editing of multiple ideas at a time. Displays check box next to each item in electronic flip chart. Checked items can be moved and copied between Categories and Topics, or combined and deleted.
Attribute
Records the name or "alias" of the person entering an idea or comment. This is the name a participant entered on the initial Logon Screen. Attribution occurs at the time an idea or comment is added; attribution is not retroactive.
Show Attribution
Displays name or "alias" of the person contributing and idea or comment in the body of the idea. Can be turned on and off as needed. Names are only available to display if Attribute was turned ON when the idea or comment was entered. Ideas and comments with no names will be labeled "Anonymous."
Time Stamp
Adds the date and time from the server to the end of each posting.
Time stamping only happens at the time an idea or build is added; not retroactive.
Show Time Stamp
Displays time stamps in the body of the idea if Time Stamp was turned ON when the idea or comment was entered.
Attach Web Links
Displays option to attach Web URL, FTP and e-mail links when adding ideas or comments. Option displays in the Add an Idea section of the participant's screen.
Auto Refresh
Displays Auto Refresh On button above the flip chart. Participants individually control Auto Refresh On and Off. When ON, the user's screen will automatically refresh every 10-15 seconds until the user adds or comments on an idea, or selects the Auto Refresh Off button.
View Only Voting Results
User profile setting used for participants who you do not want to vote but do want to see voting results for a topic. Useful for survey clients wanting to look at online results.
Show Builds as new if:
New since last refresh
Added within last 5 mins
Added within last 7 days, Etc.
Highlights comments in a bold blue font according when they were added. This setting can be used and adjusted at any time but requires time stamps to have been collected as comments were added.
Sorting Preference
Choose from available sorting preferences.
Sorts the ideas list based upon the sorting preference selected.
Newest to Oldest
Newest items are added to the top of the list.
Oldest to Newest
Newest items are added to the bottom of the list.
Category - Ascending - ID
Items are listed under Category headings. Categories are listed in ascending order of Category Number or alphabetically. Items are ordered by Item Number.
Category - Descending - ID
Items are listed under Category headings. Categories are listed in descending order of Category Number or in reverse alphabetical order. Items are ordered by Item Number.
Item Text - A to Z
Items are listed alphabetically (A to Z).
Item Text - Z to A
Items are listed in reverse alphabetical order (Z to A).
ID Number - Ascending
Items are listed in order of their assigned number (Item Number) lowest to highest.
ID Number - Descending
Items are listed in order of their assigned number (Item Number) highest to lowest
Vote Column - Ascending
Items are listed in the order of tabulated voting results, lowest to highest. First column or voting criterion is sorted or, if in use, the weighted score.
Vote Column - Descending
Items are listed in the order of tabulated voting results, highest to lowest. First column or voting criterion is sorted or, if in use, the weighted score.
Standard Deviation Ascending
Items are listed in the order of the standard deviation of tabulated voting results, lowest to highest.
Standard Deviation Descending
Items are listed in the order of the standard deviation of tabulated voting results, highest to lowest.
User Build Color Settings
Allows for the display of ideas in color according to the name or "alias" of the contributor. Only relevant when comments are attributed as they are added. Format for color labeling is:
Bill=Red
Table 1=Green
...where "Bill," and "Table 1" are the names users entered on the initial logon screen. Set and revise color settings at any time.
User may change his or her own viewing options - does not apply to facilitators
Allow non-facilitators to view and adjust their own viewing options when topic override option is unchecked. This capability is automatically given to facilitators.
If this user is a facilitator, do not show Topic settings on the brainstorming screens
Topic settings and viewing options do not display below the electronic flip chart. Topic settings and viewing options are only set within the Topic Editor screen accessed by the Settings button.
Non-facilitator may view and set his or her own edit options
Used in conjunction with setting above. Allows users to give themselves edit capabilities in addition to making adjustments to other viewing options. This capability is automatically given to facilitators.
Voter Weighting
Optional
Used in conjunction with custom voting profile options to weight voting scores. Multiplies a voter's scores by the entered number according to the options designated in the voting profile for a particular ballot. See Section 25 for details of voting profile options that use this number.
Headline width
Adjust width of the item headline text entry box in the Add an Idea area. Default value fills in once the user has logged on for the first time.
Detail width
Adjusts width of the item additional detail text entry box in the Add an Idea area.
Typically set at 2 to 4 lines. Character maximum approximately 2 million.
Text box sizing does not affect the maximum number of characters allowed. Use the lines of entry to encourage an appropriate amount of detail when users add ideas.

Adjusts the size of the Additional detail text entry box in the Add an idea area.
Typically set at 2 to 4 lines. Text box sizing does not affect the maximum number of characters allowed. Use the lines of entry to encourage an appropriate amount of detail when users add ideas. Character maximum approximately 2 million.
Only show past __ days
Limits items displayed in the electronic flip chart to specified number of days. Default setting 0 displays all items.
All items remain in database. Retrieve all items at any time by changing the setting to 0.
